First, check your announcement
Open the job on USAJOBS and read the "Required documents" and "How to apply" sections. They say whether the two-page limit applies and list anything else HR wants. When the announcement and general advice disagree, follow the announcement.
What every job on your resume still needs
Shorter doesn't mean fewer details. HR uses these to decide whether your experience counts, so each job needs:
- Start and end dates with month and year, like 03/2022 – Present. Year-only dates make it hard for HR to count your time.
- Hours per week. Part-time work is credited by hours, so leaving them out can cost you experience.
- Job title, employer, city and state. Add your series and grade (for example, GS-0303-07) for federal jobs.
Put your citizenship and any veterans' preference near the top, along with your contact details.
Match the Specialized Experience paragraph
For most jobs at GS-7 and above, you qualify by showing one year of "specialized experience" at the next lower grade. The announcement describes it in one paragraph, and HR checks your resume against that paragraph job by job.
- Copy the Specialized Experience paragraph and the Duties list into a note.
- Underline the actions and topics: "scheduling appointments," "tracking budget expenditures," "advising managers on recruitment."
- For each one that is true for you, write a bullet in the job where you did it, using the same words.
- Add a number where you have one: people served, calls per day, budget size, time saved.
Don't claim experience you don't have. HR can rate you lower, or you may be removed from consideration.
What to cut
- Old or unrelated jobs. Keep the roles that show the Specialized Experience. A job from 15 years ago that doesn't match can usually go.
- Duty lists copied from position descriptions. Replace them with your own bullets that show results.
- Repeated duties. If three jobs share a duty, show it once, where you did the most of it.
- Long summaries and objective statements. Two or three lines is enough.
- Training lists. Keep only certificates the announcement asks for or that clearly fit the job.
Formatting that saves space
- Use 10.5 to 11 point text with 0.5 to 0.75 inch margins.
- Put dates, hours and pay on one line under each job title.
- Use short bullets that start with an action verb.
- Check the page count in the exact file you upload. A Word file and its PDF can paginate differently.
About the essay questions
Many announcements now include short Merit Hiring essay questions. Applicants certify that they wrote those answers themselves, so don't hand them to a resume writer or an AI tool. A writer can explain what a question is asking; the answer has to be yours.
Check yours in two minutes
Paste your announcement and resume into the free Federal Resume Checker. It shows missing keywords, an estimated page count, and any jobs missing dates or hours.
